How do I join the trips?

Complete electronically or print out the registration form (excel format).

Return the completed form along with deposit of £100pp for coach tours or £150pp for Andalusia tours and send to our office/email address below. Cheques/bank draft/postal orders should be made payable to ‘Kelana Convoy Ltd’. You can also pay via electronic transfer to our bank account (details below):

Families and participants at the same address can use the same registration form. Participants of the same group with different contact details should complete a separate form or put their contact details on the same form to allow us to contact them if necessary.

The rest of the payment should reach us as soon as possible and at least 4 weeks before the date of departure or you may lose your seat and deposit.

FOR CUSTOMERS OUTSIDE THE UK

You have to make payments in British Pound Sterling either by bank Draft payable to ‘Kelana Convoy Ltd’ (suitable for people from the Republic of Ireland) or make an electronic transfer to our account. Please note that there are bank charges for electronic/telegraphic transfers of between £10-£15. PLEASE MAKE SURE YOU WRITE THE BIC/SWIFT CODE AND IBAN NUMBERS ON THE MONEY TRANSFER FORM OTHERWISE IT WILL A LOT LONGER FOR THE PAYMENT TO REACH US AND INCREASED BANK CHARGES.
You need to arrange your return flight ticket to London yourself.Arrange your flight to arrive in London at least one day earlier than the Europe Tour departure date. The return journey needs to be at least one day after the Europe Tour ends.

To register for the trip, it is advisable that customers from Malaysia, Japan, USA, the Middle East, and other countries should:

fill in the form by printing them out from our web page and send them to our address or,
email the completed form to our email address and,
pay the deposit by electronic transfer to our account or send a Bank Draft in British Pound Sterling to our address.
You can get a Bank Draft from your local bank and ask them to make it payable to ‘Kelana Convoy Ltd’.
The rest of the payment can be paid in cash once you have arrived in London.

Make sure you let us know once you have done the above to avoid confusion.

WHAT IS THE DEADLINE TO JOIN?

There is no deadline to join the trips. As places are limited, we take registration on first come, first serve basis. So do register as soon as possible to avoid disappointment. However, If you make a last minute decision to join, eg. a day before or even the night before departure, do call us and you will be able to join subject to availability. But do make sure you decide as soon as possible to avoid any disappointment.

Notes:

The group do not have to register at the same time to qualify for group discounts above. However,They need to be on the same trip The number of people in the group can grow as members of the group register for the trip Therefore you should not delay to register and secure the seat on your chosen trip! To form a group, just write the name of the group leader on the registration form (just nominate one person) Only adults can make up the number of people in a group for discount purposes. Similarly the discounts above are only applicable to adults. Child prices are already discounted (see below). The discount available will be based on the final number of customers in the group (e.g. if 11 people register in your group but 2 cancelled then the discount will be £5).
Once you have a group name, this cannot be changed or combined with another group after your booking is confirmed.
Everyone in the group has to pay the deposit of £100/£150 (depending on the tour) . The discount will be applied on the outstanding balance.
Group discounts are not applicable on Andalusia tours.

* Highlights tour during Easter includes cabin accommodation. Other highlights tour includes accommodation in tents only - cabins is an optional extra.

For the Highlights and Conquest tours, no deposit is required for children under 3 years old (deposit of £100 is required for children 3+ yrs).

For Andalusia tours, the deposit for children under 2 years old is £50 and £150 for children aged 2+ years.

TOUR CHANGES AND/OR CANCELLATIONS

Changes made by you
If you wish to change to an alternative departure date/tour or transfer your booking to someone else, please contact us immediately and we will do our best to help. Transfers to another tour date are subject to availability and a charge may apply ( this is to cover any costs/losses we may suffer as result of changes made by you). If you change to a tour that is subsequently cancelled, we will not be able to refund your deposit (i.e. £100/£150).

Cancellation by you
If you need to cancel your trip please contact us immediately. Deposits are non-refundable unless you can find a replacement. Replacements may be subject to a charge depending how soon the replacement was found. If you are unable to find a replacement, you will be liable to pay a cancellation charge to the scale shown in the table below. These charges are based on the estimated cost of cancelling your trip and the losses we may suffer if we cannot resell your seat on the trip.

Changes/Cancellations made by us
All our tours and itineraries have been designed in good faith. Sometimes, because of circumstances beyond our control, we have to alter the itineraries due to seasonal closing or repairs to buildings etc.

We reserve the right to change the itineraries and/or dates of departure or cancel any trip. Full refund will be given if changes made to the dates of departure do not fit in with your plans or we have to cancel any trip due to circumstances beyond our control or the original plan is not feasible. Unfortunately we are unable to pay compensation in these circumstances and are not responsible for expenses or losses you suffer as a result.
